Corporate Birthday Wishes for Employees: 50+ Professional Messages From HR, the Manager and the Team, and a Card With Your Logo

What to write in a corporate birthday card: 50+ professional birthday wishes for an employee, a colleague, a boss, a senior leader and a client, from HR, the manager and the team, in English and Hindi, plus a free six-act animated birthday card with your company logo and brand colour that HR can send automatically on every birthday.

MomentoCard Team
— a birthday card on company letterhead.

Short answer: a corporate birthday wish for an employee is one warm line, one specific thing about them, and a wish for the year, signed by a person with a designation rather than by "HR". Copy a line from the lists below. Then, instead of pasting it into an email, put it in the Corporate Birthday card: a free, six-act animated card on off-white paper with your company logo and brand colour, their name in engraved serif, their role and years with you, and a signed note. About two minutes to make, and HR can send it automatically on every birthday.

What a corporate birthday wish is actually for

Nobody remembers the words of a birthday email. They remember that the company knew, that it was on the day, and that a real person signed it. A corporate birthday message earns its place by doing three things:

  1. Naming them properly. The name the team uses for an employee; the full name or title for a leader or a client.
  2. Saying one true thing. A quality you rely on, a moment from the year, the thing they are known for around the office. One is enough; a list reads like an appraisal.
  3. Wishing them something for themselves. Health, rest, a good year. Not "another year of great results for the company."

Everything the company wants to say about itself can wait for the town hall.

The card that says it properly

The Corporate Birthday card is built for exactly this send: restrained, premium and brand-neutral, so it looks right at a bank, a hospital, a law firm and a games studio. Six acts, about 22 seconds, and a tap skips to the letter:

  1. The mark. The card opens on a field of your brand colour with your logo and one line: "Every year has one day that is yours alone."
  2. The paper. The field lifts away to off-white paper. A letterhead band slides in along the top in your colour, and a second line: "Today is that day, and all of us know it."
  3. The name. "HAPPY BIRTHDAY" in small caps, then their name alone on the page in engraved serif. Twelve hairlines flick out around a rule beneath it and fade.
  4. The role. Their designation and team in italic, and "5 YEARS WITH US" in your colour. All three come from your employee records; if none are known, the scene is left out.
  5. The wishes. "Our wish for you", then three short lines one by one: Good health. Good work. Good company. Edit them, or leave the scene out.
  6. The letter. Logo on its plate, name, your message up to 300 characters, and a proper signature: sender, designation, company.

The logo is handled rather than just placed. A white wordmark gets a plate in your brand colour; a dark mark sits on paper; a logo that brings its own background stays on paper. Pale brand colours are deepened until the words read.

Open the Corporate Birthday card

Step 1: the facts

Four fields carry the card, and on a business send all four are filled in for you:

  • Employee name. The headline. Leave it blank for a general send and the card leads with "Happy Birthday" instead.
  • Company logo and brand colour. A transparent PNG or SVG and one hex value. No logo? The company's initials are set on the plate.
  • Role and tenure. "Senior Analyst · Analytics" and "5 years with us", merged from designation, department and joining date.
  • Sender and designation. "Rohit Menon", "Head of People". Leave the sender blank and the company signs.

Before you send

Check the joining date before you send. "5 years with us" on a card for someone who joined four years and eleven months ago is the kind of thing people notice and do not mention.

Step 2: write the message (300 characters)

The message is the one part of the card the company has to write itself. Three lines that fit the slot:

Wishing you a wonderful birthday, Priya, and a year of good health, good work and good company. Thank you for everything you bring to the team.

Happy birthday, Priya. Five years in, and the place is better for every one of them. Have a day that is entirely yours.

Many happy returns, Priya. From all of us at Northwind: thank you for the care you put into your work, and for the people you are around here.

The pattern is the same each time: name, one true thing, a wish for them. If you are writing for a whole company, write the version with {{firstName}} in it once and let the campaign fill the name.

What to leave out

  • Age. Never the number, never the joke, unless they made it first.
  • Personal life. Health, family, faith, plans. If they did not tell you directly, it does not go on the card.
  • Company news. A birthday card is not the place for the new leave policy.
  • A department as the sender. "From HR" is a system notification. "Rohit Menon, Head of People" is a person.
  • Lateness. A card a day late reads as a reminder that fired late. If someone is on leave, send it anyway; it waits in their inbox.

When to send it

WhenWhat to do
9 am, their timezoneThe card lands in the first hour of the working day, before the meetings. Set the send hour once and honour it per person.
The day itselfNot the day before, not the day after. Weekend birthdays get a Saturday card, not a Monday catch-up.
The team channel, 10 amDrop the link where the team lives so the replies land in one place. The card is the note; the thread is the party.
Once a year, every yearThe value of a birthday programme is its consistency. Miss one person once and the whole thing reads as favouritism.

Never send one by hand again

On MomentoCard for Business you import employees with their birthdays, create one Birthday campaign with the Corporate Birthday template and a message written with {{firstName}}, and it sends every year on each person's birthday at 9 am in their timezone, by email and WhatsApp. The organisation's logo and brand colour, the employee's designation, department and years with the company, and the campaign's sender name are all filled in. February 29 is handled. It is free for up to 10 people.

FAQ

Frequently asked questions

What is a good corporate birthday wish for an employee?
One warm line, one specific thing about them or their work, and a wish for the year: 'Happy birthday, Priya. Five years in, and the place is better for every one of them. Have a day that is entirely yours.' Sign it from a person with a designation, not from 'HR'. Keep it under 300 characters so it fits a card and gets read.
How do you wish an employee happy birthday professionally?
Use their name, say who is sending it, mention one real thing about their work or their manner, and end with a wish for them rather than for the company. Avoid jokes about age, anything about their personal life you were not told directly, and 'from the HR team' as a signature. A named sender with a designation is what makes it professional.
What should a manager write in a birthday card for a team member?
Something only their manager could write: a specific quality you rely on, a moment from the year, and permission to take the day lightly. 'Happy birthday, Priya. Your judgement and your calm make this team what it is. Take the afternoon; the work will keep.' Two sentences beat two paragraphs.
Is it appropriate to send a birthday card to a boss or a client from the company?
Yes, if the card is restrained and the wording is considered. Use the full name or title, avoid first-name familiarity unless that is how you address them, keep the message to one or two sentences, and sign with your own name and designation. The Corporate Birthday card on MomentoCard is designed to send upward and outward: no cake, no confetti, no hearts.
How do I add our company logo to an employee birthday card?
Upload a transparent PNG or SVG into the logo slot of the Corporate Birthday card and set your brand colour. The card decides the plate itself: a light logo sits on your brand colour, a dark one on paper. On MomentoCard for Business the logo and colour are filled in automatically on every send.
Can HR send birthday cards to every employee automatically?
Yes. On MomentoCard for Business you import employees with their birthdays, create one Birthday campaign with the Corporate Birthday template and a message, and it sends every year on each person's birthday at 9 am in their timezone, by email and WhatsApp, with the logo, first name, designation, department and years with the company filled in. Free for up to 10 people.
What should you avoid in a corporate birthday message?
Age jokes, anything about health, family or religion you were not told directly, company announcements smuggled into the card, a signature from a department instead of a person, and sending it a day late. A late birthday card reads as a reminder that fired late, which is worse than no card.

Corporate Birthday — Letterhead greeting card template

Corporate Birthday — Letterhead

A restrained birthday note from the company, told in six acts. It opens on a field of your brand colour with your logo and one line: every year has one day that is yours alone. The field lifts away to off-white paper, a letterhead band arrives in your colour, and a second line says today is that day. Then the employee's name stands alone on the page in engraved serif and a dozen hairlines flick out around the rule beneath it; their designation, team and years with the company follow under it; three short wishes from the company come one by one; and everything settles into the letter itself: logo on its plate, name, your message, and a proper signature of sender, designation and company. The logo plate turns your brand colour when the logo is light, so a white wordmark reads as well as a dark mark. Built for HR admins who need something safe to send in any industry: no confetti, no cake, no hearts. Works with or without the recipient's name, takes the organisation's logo and brand colour automatically on business sends, a tap skips to the letter, and it reads cleanly on a phone and in the campaign preview.

Corporate Diwali — Brand Rangoli greeting card template
Premium

Corporate Diwali — Brand Rangoli

A Diwali greeting from your company, built to go to employees and clients alike, told in five acts. It opens in the dark on a single diya. That one flame throws sparks that light eight more, the night warms as they catch, and marigold goes up across the top the way it does in every office the week before. Then a box of mithai arrives in your colours — gold ribbon, your seal on the lid, शुभ and लाभ either side — and the lid lifts on kaju katli, laddoo and pista barfi. The first flame sinks into a medallion holding your logo, the eight lamps walk out to ring it, and a kolam draws itself between them in your brand colour until your logo sits at its heart like the bindu of a rangoli. Last, the greeting settles in engraved capitals on ivory paper. Restrained enough for a client mailer; works with or without the recipient's name; a tap skips straight to the greeting; pale brand colours are handled so the words always read.
